Approvals, vendors, purchase orders and renewals run on one engine. Your policy is configuration, every decision lands on an audit record, and the ERP stays the ledger.

The problem
The layer between the ERP and the inbox.
Every enterprise runs this layer and no package fits it: approvals, vendor onboarding, budget requests. Today forwarded emails, a shared spreadsheet and one person’s memory hold it together.
Inbox
ERP
Fwd: Fwd: Approval needed
The approver is away.
The request waits in an inbox. Then it goes to a deputy who is not sure they may sign.
Re: Re: Fine by me
The decision is a reply-all.
Nobody files it. Months later audit asks who authorised the spend, and the answer is a mailbox search.
vendors_final_v3.xlsx
A certificate lapses.
Documents arrive by email and the checklist is a spreadsheet. Nobody notices until a PO is blocked.
Reminder: renewal date?
A contract renews by itself.
The renewal date lived in someone’s calendar, and the notice date passes silently.
The ERP records the postings and has no idea any of this happened.
How it works
One vendor, one request, one record.
Follow one sample vendor and one purchase request through both halves of the product.
01
The vendor onboards through the portal.
An invitation opens a portal with the checklist for that vendor’s category and jurisdiction. The vendor uploads, the checklist ticks, and both sides see the same status.
Registration, tax status, insurance and certifications
A data-processing agreement where personal data is involved
02
Compliance reviews the documents.
Reviewers work from one queue, and the approval step runs on the workflow engine. Every document carries a validity date, so a certificate prompts its renewal before it lapses.
Risk flags sit on the same record: financial, sanctions, quality, data protection
03
The request carries its budget.
The requester chooses a qualified vendor and a budget line. Committed, available and this request sit side by side, so the approver decides against the budget it will consume.
Budget lines are read from the ERP or your planning system
04
The matrix picks the approvers.
Routing follows your delegation-of-authority matrix: amount, category, cost centre and vendor risk. Approvers come from your directory at routing time.
Rule versions carry effective dates
A requester cannot approve their own request
05
An approver is away. The request moves on.
A delegation is a person, a scope and a date range. The engine routes to the deputy, marks the decision as delegated and reverts when the range ends.
With no delegation set and the target passed, escalation takes over: reminder, next level, process owner
06
Approved, it reaches the ERP as a PO.
The approved request posts to the ERP through a governed integration contract. The ERP keeps postings and payments. The decision stays here.
07
The whole trail stays on the record.
Each event is written once, in order, and not edited afterwards: actor, action, timestamp, context and comment. Audit can query it or export it in bulk.

Overview
Approvals that keep moving. Decisions you can show the auditor.
Approvals, procurement and back-office processes that are too important for spreadsheets and too specific for ERP — your policy as configuration, every decision on an audit record, and each new process a configuration job rather than a project.
Approvals that run on rules, not inboxes.
Conditional routing, delegation and escalation for enterprise approvals — measured, audited, and out of email. The Workflow & Procurement module that runs the decisions your business waits on.
The vendor lifecycle on one governed record.
Onboarding, qualification, purchase flows and renewals — procurement governance without procurement bureaucracy. The Workflow & Procurement module that keeps every vendor, certificate and PO on one record.
Why it exists
Why it exists
The layer between the ERP and the inbox.
Between the ERP and the email inbox lives a layer of processes every enterprise runs and no package fits: approvals with real routing logic, vendor onboarding with real compliance steps, budget requests with real accountability. Today that layer is held together by forwarded emails, a shared spreadsheet with a colour code and one person who remembers where the request went. When that person is on leave, the process stops. When audit asks who approved what, the answer is an inbox search.
Workflow & Procurement is that layer, built properly. It is a configurable workflow engine with the back-office objects already in it — approval hierarchies, vendors, purchase orders, contracts, compliance checklists — and an audit record of every action. Trained admins model a new process themselves. The ERP stays the ledger. Workflow & Procurement runs the process the humans actually touch, and records every step of it.
What the product is built to move: approval time, the share of decisions on the audit record, and the volume of process that still runs over email. Each is measured on your instance, and the product runs on the same Kubernetes and PostgreSQL foundation as every Odeontech product, operated to an availability target agreed with you according to your needs.
Modules
Product modules
One engine, three surfaces, one record.
Every surface runs on the same workflow engine, the same identity model and the same audit ledger. A vendor approval and a budget approval are two configurations of one thing, not two systems to reconcile.
01
Workflow & approvals
Multi-step, conditional, delegation-aware approval flows — configured, versioned, measured. Amount bands, categories and org hierarchies drive routing; ageing requests escalate on their own; cycle time is measured per step so the slow approver is a fact, not a suspicion. See the screens.
RoutingDelegationSLAs
02
Vendor & procurement
Onboarding, qualification, PO flows and renewals — the vendor lifecycle on one record. Vendors submit documents through a portal, certificates carry expiry dates that prompt their own renewal, and purchase requests carry budget visibility at the moment someone decides. See the screens.

03
Configurable processes
Budget requests, access grants, compliance checks, asset hand-overs — your process, modelled by trained admins. A process is a form, a set of routing rules and a set of states; each is configuration with a version history, so a variant for one department does not fork the codebase.

04
Audit & reporting
Every action, actor, timestamp, context and comment on an append-only record — queryable in the product and exportable for internal audit. Cycle-time, backlog and bottleneck reports are built from the same ledger, so the number the CFO sees is the number audit sees.

Features
Features
What it does, in detail.
01
One queue, every kind of request.
An approver does not care whether a request came from procurement, HR or finance; they care that it is in one place, with the context needed to decide. Workflow & Procurement gives every approver one inbox across every process, with the request, its history, attached documents and the budget picture on a single screen — on desktop or on a phone. Decisions take two taps. Requests sit in the system rather than in a personal inbox, so they stay visible when someone leaves.
Cross-process inbox with filters by age, amount and process type
Full request context — history, documents, budget line — before the decision
Mobile approval with the same audit record as desktop
02
Audit reads the system, not the people.
Internal audit should not need to interview anyone to reconstruct a decision. Workflow & Procurement writes every action to an append-only record: who did what, when, on which version of which rule, with what comment and which attachments. The record is queryable inside the product and exportable in bulk. Segregation of duties is enforced by the engine — a requester cannot approve their own request, and the rule that prevented it is on the record too.
Actor, action, timestamp, rule version, context and comment on every event
Segregation-of-duties checks enforced at routing time and logged
Bulk export and a query interface for internal and external audit
03
Cycle time you can see, per step.
A process nobody measures does not improve. Workflow & Procurement records the time a request spends in every state and with every approver, so the bottleneck is a chart rather than an argument. The per-step view shows a team where to act on approval time. Reports are built from the audit ledger, so they show what the record shows.
Time-in-state and time-with-approver for every request
Backlog, ageing and SLA-breach views per process and per department
Built from the audit record — no separate reporting database to reconcile
By role
By role
One platform, four seats.
Finance
Budget visibility at the moment of decision.
Finance sees every spend request against its budget line before it is approved, not after it is posted. Approval hierarchies match the delegation-of-authority matrix exactly, and the ERP receives a clean, approved posting rather than a request to chase.

Delegation-of-authority matrix as configuration

Procurement
Vendors onboarded on one record, qualified continuously.
Procurement runs vendor onboarding, qualification and renewals on one record. Vendors upload their own documents through a portal; certificates carry expiry dates; risk flags are visible on every PO that touches that vendor.

Internal audit
The record is the evidence.
Audit queries the system directly: every decision, every rule version, every delegation, every exception. Segregation of duties is enforced by routing, so the control is proven by the engine rather than sampled from emails.

One painful process first, then expand by template.
01
Discovery and process mapping
We map the highest-pain process — usually spend approvals — as it actually runs, including the exceptions nobody wrote down. Identity, ERP and document integrations are scoped at the same stage.
02
Configuration and integration
Forms, routing rules and states are configured with your admins in the room, so they can change them afterwards. The ERP connector goes live against a test client.
03
Parallel run
The process runs in Workflow & Procurement alongside the old email chain. Audit reviews the record; approvers use the mobile inbox; rules are tuned on real requests.
04
Cutover
The email chain is retired. Cycle-time reporting starts at cutover so the baseline is real.
05
Expand by template
The second and third processes — vendor onboarding, budget requests, access grants — start from the first one’s configuration rather than from scratch.
Workflow and approvals
Why it exists
Why it exists
An approval is a small decision with a long tail.
The request sits in an inbox for three days because the approver is travelling. It is forwarded to a deputy who is not sure they are allowed to sign. It is approved in a reply-all that nobody files. Six months later, audit asks who authorised the spend, and the answer is a search through a mailbox that has since been archived. None of this is anyone’s fault; it is what happens when a process with real rules is run on a tool with none.
Workflow & approvals is the Workflow & Procurement module that gives those rules a home. Routing conditions, approval limits, delegations and escalations are configuration, versioned and dated. Every decision lands on an append-only record with actor, timestamp, context and comment. Approvers work from one inbox, on desktop or phone, and the time each request spends with each of them is measured. Approval cycle time, the share of approvals still running over email and the number of requests without an owner are the three numbers your instance reports.
It is one of three surfaces of Workflow & Procurement; the same engine runs Vendor & procurement and any custom back-office process your admins model.
Features
Features
What it does, in detail.
01
The delegation-of-authority matrix, as configuration.
Every finance team has a matrix that says who can approve what, up to how much. Workflow & Procurement makes that matrix executable. Conditions read any field on the request — amount, category, cost centre, requester role, vendor risk flag — and resolve to a sequence of approvers. Approvers are resolved from your directory at routing time, so an org change updates the process without touching a rule. When the matrix changes, a new rule version takes effect on a date you set.

Amount > €50kOwner, controller, then CFO

02
Absence that does not stop the business.
A common reason an approval stalls is that the approver is away and the process does not know it. Workflow & Procurement delegations are explicit: a person, a scope and a date range. The engine routes to the deputy, marks the decision as delegated on the record, and reverts when the range ends. If nobody set a delegation and a request ages past its target, escalation takes over — reminder, then next level, then process owner — so a request can sit, but it stays visible.

03
What audit asks for, already written down.
Each event on a request is written once, in order, and not edited afterwards: submission, rule match, each decision with its comment, each delegation, each escalation, the posting to the ERP. Audit gets actor, action, timestamp, context and comment for every one of them, exportable and queryable. Segregation of duties is a routing check — a requester cannot approve their own request, and the record shows the check ran. The result is that internal audit reads the system instead of interviewing the department.

Segregation-of-duties checks enforced at routing time and logged
Bulk export and a query interface for internal and external audit
04
Measure the step, not the process.
An average cycle time hides where the time goes. Workflow & Procurement records time-in-state and time-with-approver for every request, so the report shows which step, which department and which approver are ageing. The per-step view shows a process owner where to act: fix the rule that holds requests rather than send reminders. Reports come from the audit ledger; there is no separate reporting database to drift out of sync.

Real requests run through Workflow & Procurement alongside the old chain. Approvers use the mobile inbox; audit reviews the record; rules are tuned.
04
Cutover and baseline
The email chain stops. Cycle-time reporting starts at cutover so any improvement is measured against a real baseline.
05
Add processes by template
The next approval type — budget requests, access grants, travel — starts from the first configuration.
Vendor and procurement
Why it exists
Why it exists
Onboarding a vendor should not drag on.
It does when the documents arrive by email, the compliance checklist is a spreadsheet, and the person who knows which certificate is missing is in another building. The same vendor’s insurance certificate expires eleven months later and nobody notices until a PO is blocked — or worse, until it is not. Contracts auto-renew because the renewal date lived in someone’s calendar. The ERP records the postings faithfully and has no idea any of this happened.
Vendor & procurement is the Workflow & Procurement module that puts the whole lifecycle on one record. Vendors submit their own documents through a portal and see where they stand. Compliance checklists are configured to your regime and gate the approval. Certificates carry expiry dates that prompt renewal before they lapse. Purchase requests show the budget line at the moment of decision and post to the ERP only once approved. Contracts carry owners and renewal dates, so a renewal is a decision rather than an accident. Onboarding time, the share of active vendors with current compliance documents and the number of certificates caught before expiry are what your instance reports.
It runs on the same engine and audit record as Workflow & approvals; the ERP stays the ledger for postings and payments.

Features
What it does, in detail.
01
Vendors onboard themselves; you approve.
The slow part of onboarding is not the review — it is chasing documents. Workflow & Procurement moves that work to the vendor. An invitation opens a portal with the checklist configured for that vendor’s category and jurisdiction: registration, tax status, insurance, certifications, a data-processing agreement where personal data is involved. The vendor uploads, the checklist ticks, reviewers see a single queue, and the approval step runs on the workflow engine. The vendor sees the same status you do, so the phone rings less.

02
Certificates that prompt renewal before they expire.
A vendor is not qualified once; it is qualified until something lapses. Every document on the vendor record carries a validity date. Before expiry the portal prompts the vendor and the owner; on expiry a mandatory document changes the vendor’s status, and that status is visible on every purchase request that names the vendor. Risk flags — financial, sanctions, quality, data protection — sit on the same record and can add a reviewer to any PO routing. The result is a vendor base where expiries are visible before they lapse, and the share with current documents is a report rather than a hope.

03
Budget on the screen when the decision is made.
A purchase request should be approved against the budget it will consume, not against a number someone remembers. In Workflow & Procurement the requester chooses a qualified vendor and a budget line; the approver sees committed, available and this request side by side. Routing follows your delegation-of-authority matrix — amount, category, cost centre and vendor risk — and the approved request posts to the ERP as a PO through a governed contract. The ERP keeps postings and payments; Workflow & Procurement keeps the decision. PO approval time is measured per step from the first request.

04
Renewals as decisions, not surprises.
Auto-renewal clauses cost money because the notice date passes silently. Workflow & Procurement puts every contract on the vendor record with a named owner, a notice period and a renewal date, and raises the renewal as an approval ahead of the notice date. The owner decides to renew, renegotiate or exit while the option still exists, and the decision is on the record with the reasoning. A calendar view shows what comes due by month, by category and by owner.

Procurement
Run the lifecycle, not the inbox.
Procurement owns the checklists, the vendor categories and the review queue. They see onboarding progress per vendor, which documents are outstanding, and which renewals come due — all on the record instead of in a tracker spreadsheet.

Vendor
Upload once, see the status.
Vendors get a portal, not an email thread. They see what is required, upload it, and watch the review move. When a certificate is due to expire they are prompted in the portal, and a renewed document goes straight onto the record without a re-onboarding.

Finance
Approve against the budget, post once.
Finance sees each purchase request against its budget line before approval, and the ERP receives one clean PO per approved request. Spend reporting by vendor and category comes from the same approved requests, so it reconciles to the ledger.

Compliance
Evidence on the record, by design.
Compliance configures which documents are mandatory for which vendor categories, including data-processing agreements under KVKK / GDPR. The audit record shows every document, review and decision, so a vendor file can be produced for an auditor or a regulator without assembling it by hand.

01
Map vendors and checklists
We map your vendor categories, the documents each requires, the reviewers involved and the exceptions. The ERP vendor master and identity integrations are scoped at the same stage.
02
Configure onboarding and the portal
Checklists, expiry rules, review queues and the approval routing are configured with your procurement admins. Existing vendors are loaded with their current documents and validity dates.
03
Purchase requests and ERP posting
Request forms, budget lines and the delegation-of-authority routing go live; the ERP connector is tested against a sandbox client before real POs flow.
04
Parallel run and cutover
New vendors onboard through the portal alongside the old process; audit reviews the record; then the email process is retired.
05
Contracts and renewals
Contracts are loaded with owners and notice dates, the renewal calendar goes live, and the first renewals arrive as approvals rather than surprises.
FAQ
Frequently asked questions
Workflow & Procurement ships enterprise back-office semantics out of the box — approval hierarchies, procurement objects, vendor records, compliance steps — so you configure business, not build primitives. A generic BPM tool gives you a canvas; Workflow & Procurement gives you the process objects an enterprise actually runs, with the audit model already attached.
Yes — through governed integration contracts. The ERP stays the ledger for postings and payments; Workflow & Procurement runs the process in front of it and hands over a clean, approved transaction. Our ERP team builds and maintains those connectors.
It governs the process in front of it — the ERP keeps postings and payments; Workflow & Procurement runs the workflow humans actually touch: documents, reviews, decisions and renewals. The ERP receives clean vendor-master updates and approved POs through a governed integration contract.
Both are supported with the same container images. Regulated organisations can run it inside their own perimeter; the alternative is a cloud tenant we operate to an availability target agreed with you according to your needs.
The pace is agreed with you according to your needs: one high-pain process first, usually approvals, then expand by template. Trained admins configure approval processes. The first one takes longer because we map it properly with you. The second and third start from that configuration.
Your trained admins. The process designer is built for them, with versioning and a sandbox. Your own team configures a new variant for another department, with no change request to us.
Yes, they can. You can start with workflow and approvals alone and add vendor and procurement when the approval layer is settled. Both run on the same engine and the same audit record. The approval steps on the procurement side run on that engine, so routing, delegation and escalation are already included. Workflow and approvals on its own is for the non-procurement approvals, such as budget requests, access grants and travel, on the same record.
Yes — process templates with per-department variants under one governance model. A department’s variant inherits the template and overrides only what differs, so a change to the shared policy reaches every variant without re-work.
No. Spend is the usual first process, but the same engine runs access grants, budget requests, travel, contract sign-off and any custom process.
Actor, action, timestamp, context and comment on every event — exportable and queryable. The rule version that routed each request, and any delegation that was active, are part of the same record.
Yes. Notifications carry approve and reject actions, and each action writes the same audit event as a decision made in the inbox. The full context is one tap away when the summary is not enough.
It finishes under the rule version it started on. The new version applies to requests submitted after its effective date. Both versions are on the record, so audit can see exactly which applied.
Yes, at routing time. A requester is not routed to approve their own request, and an approver who has already signed one step is not asked to sign a later one unless the rule explicitly allows it. The check and its outcome are logged.
Yes. Vendors submit documents and see status through a portal. They are prompted for renewals in the same place, so a certificate is replaced without a re-onboarding.
Checklists are configurable to your regime — KVKK / GDPR data-processing agreements included. Mandatory document sets vary by vendor category and jurisdiction, and registry or sanctions lookups can be added where you need them.
The vendor and the owner are prompted before the date. On expiry a mandatory document changes the vendor’s status, which is visible on every purchase request naming that vendor and can block submission until it is resolved. The prompts, the status change and the resolution are all on the record.
Yes. Existing vendors are imported from the ERP vendor master with their current documents and validity dates, so the expiry prompts cover them as well as new vendors.
Budget lines and committed amounts are read from the ERP or your planning system through the integration layer and shown on the approval screen. Workflow & Procurement does not become the budget system; it makes the budget visible at the moment of decision.
Designed with GDPR / KVKK in mind: personal data on vendor and requester records is minimised, access is role-based, and retention is a policy setting. Data-processing agreements for vendors are part of the onboarding checklist. See our security page for the controls.
